The Fuel Surcharge is configured in the Pricing section rather than as a standard line item on the invoice.
There are two common ways to review Fuel Surcharge amounts:
- Run a report that includes the surcharge column
- Add the surcharge field to the Billing grid and export the results
Option 1: View Fuel Surcharge in Report Central
To review Fuel Surcharge amounts through reporting:
- Navigate to Reports > Report Central
- Select the following report settings:
- Category: Sales
- Report: Equipment Unit ID
- Type: Summary
- Locate the Surcharge column in the report results
The Surcharge column displays the Fuel Surcharge amount associated with the records returned in the report.
Option 2: Add Fuel Surcharge to the Billing Grid
Fuel Surcharge amounts can also be displayed directly in the Accounting > Billing section by adding the appropriate column to the grid.
Add the surcharge column
- Open Accounting > Billing
- Select the Field Chooser
This is the small cell in the grid located near the existing column headers. - Find Amount Surcharge Total
- Drag and drop Amount Surcharge Total into the grid at the preferred location
Once added, the Billing grid will display the Fuel Surcharge amount for each applicable invoice.
Export Fuel Surcharge Data to Excel
After the surcharge column has been added to the Billing grid, the displayed information can be exported to Excel.
- Select the invoices to export
- Individual invoices may be selected
- All invoices may also be selected if needed
- Right-click within the grid
- Choose Export
The export will include the visible grid columns, including Amount Surcharge Total if it has been added to the layout.
