In Rapid ERP, each job’s invoicing behavior is determined by a combination of its pricing scheme and its pricing sheet. In some cases, customers may notice that a surcharge is appearing as non‑taxable even though the pricing scheme indicates it should be taxable. This article explains why that can happen and how the configuration can be corrected.
How Pricing Schemes and Pricing Sheets Work
Rapid ERP uses two layers of configuration to determine how charges and taxes apply:
- Pricing Scheme
Defines overall invoicing rules such as taxability for surcharges, environmental fees, or other add‑ons. - Pricing Sheet
Defines detailed, equipment size‑specific pricing and overrides any conflicting settings in the pricing scheme.
Key Point:
When a setting differs between the pricing scheme and the pricing sheet, the pricing sheet always takes priority.
Why Surcharge Tax Settings May Not Match the Pricing Scheme
A surcharge may appear as non‑taxable on a job even if the pricing scheme indicates it should be taxable. This happens when:
- The pricing scheme has surcharge marked as taxable, but
- The specific pricing sheet associated with that job has surcharge marked as non‑taxable.
Because the pricing sheet overrides the scheme, the job follows the pricing sheet configuration. This situation can occur when:
- A pricing sheet is added or modified after the scheme was originally created.
- A checkbox (e.g., “Taxable”) was not applied consistently across all pricing sheets.
- New sizes or product variations were added over time without mirroring all the scheme settings.
Resolution
- Navigate to Sales -> Pricing.
- Click on the pricing scheme in the left grid.
- Choose the pricing sheet in the right grid.
- Open the pricing sheet associated with the job’s selected size or configuration.
- Click on Switch to Advance Mode.
- Review the Surcharge settings.
- Confirm that the Taxable option is enabled, if appropriate.
Once updated, new jobs created under the same configuration will reflect the corrected tax behavior.
Impact on Existing and Future Jobs
- Existing jobs created before the change will retain their original values unless manually edited.
- Future jobs using the same size or configuration will automatically use the updated taxable surcharge setting.
