To manage equipment records in Rapid ERP, users can either permanently delete equipment or mark equipment as inactive, depending on the equipment’s job history.
⚠️ Important Permission Requirement
To permanently delete equipment units, the user must have Delete permissions enabled for Assets → Fleet.
Understanding Deleting vs. Deactivating Equipment
Before removing an equipment unit, it’s important to understand the difference between these two options:
- Delete Equipment
Equipment can be permanently deleted only if it has never been associated with any jobs and the user has the appropriate delete permissions. - Mark Equipment as Inactive
If the equipment has been associated with one or more jobs, it cannot be deleted. Instead, it must be marked as inactive.
Inactive equipment is removed from the active equipment list but remains in the system for historical and reporting purposes.
How to Permanently Delete Equipment
You can permanently delete an equipment unit if:
- The user has Delete permissions for Assets → Fleet, and
- The equipment has no jobs associated with it.
Steps to Delete Equipment
- Navigate to Assets → Fleet.
- Locate the equipment unit you want to remove.
- Right‑click on the equipment.
- Select Delete Equipment.
If the equipment meets the requirements, it will be deleted immediately.
Important Note
If you receive an error message stating that the equipment cannot be deleted because it has jobs associated with it, the unit must be marked as inactive instead.
How to Mark Equipment as Inactive
Equipment that has been used on jobs cannot be deleted, but it can be removed from active use by marking it as inactive.
Steps to Mark Equipment as Inactive
- Navigate to Assets → Fleet.
- Double‑click the equipment unit to open its details.
- In the bottom‑left corner, check the Inactive checkbox.
- Click Save and Close.
Once saved, the equipment will no longer appear in the active equipment list.
Viewing Inactive Equipment
Rapid ERP allows you to filter the equipment grid to control what is displayed.
Equipment Grid Filters
You can filter the list to show:
- Active units only
- Inactive units only
- Both active and inactive units
To confirm that an equipment unit was successfully marked inactive:
- Set the filter by clicking Show to Inactive units only.
- Click Go.
The inactive equipment will appear in the filtered list.
