Overview
Subject line and email body of the system emails can be now customized in Company -> My Company. Apart from default messages, multiple email templates can be created based on requirements.

Specifics
Access to emails
Navigate to Company -> My Company and click on Message & Disclaimers.
Eight different email subjects with corresponding email bodies can be customized. Each email is associated with a specific functionality that is described below:
- Default: This is the free form email that can be sent from Company -> Email Log and Send New.
- Credit Memo: To email credit memos, navigate to Accounting -> Credit Memo, then right click on a credit memo. From the options, select Print Credit Memo, and on the following screen, click on Email PDF.
- Filled Job Ticket: Job tickets can be emailed from Add/Edit Job Information window. Click on Print Job Ticket and then select Email PDF on the next screen.
- Invoice: Invoices can be emailed from the Edit Invoice Information window. Click on Print Invoice and choose Email PDF in the next screen. Processed invoices can be emailed from Accounting -> Billing. Right-click on the invoice and select Email Invoice.
- Jobless Invoice: To email a jobless invoice (merged invoices) access Accounting -> Billing. Double click on the jobless invoice, then click on Print Invoice and choose Email PDF.
- Quote: To email quotes, go to Sales -> Quoting, and right-click on the quote. Select Print Quote, and on the next screen, click on Email PDF.
- Purchase Order: Access Purchasing -> Purchase Order, right click on the PO, and choose Print Selected Purchase Order. On the next screen, click on Email PDF.
- Statement: Open Balance Activity Statements can be emailed by going to Accounting -> Collections. Right click on a customer and select Statement Report. In the next window, click on View Statement, and then Email PDF.
Note
All accounting emails can be added to the Email Queue before sending to the clients in a batch.
Customize the Subject and the Body of an email
From Company -> My company -> Message & Disclaimers select the email that needs to be customized. You can either:
- edit the default email- click on the drill icon and then on the pencil icon, or
- create a new one- click on the drill icon and then on the plus icon.
Once in the Add/Edit window, begin by providing a name for the email and entering the desired subject or message body.
It is helpful to utilize the available [%...%] syntax, which appears in a bubble when the mouse hovers over the subject or email body field. This feature enables the user to include dynamic information from the system, specifically tailored to the client the email is intended for.
Please note that you will need to log out of the application and then back in to be able to use any changed messages.
