In order to generate and send an ELD Compliance Report (for example, to a law enforcement agent), a Rapid On The GO! user needs to go through the following steps:
- Go to the HOS tab in Rapid On The GO! and make sure the requested Hours of Service Log has been fully or partially completed, and signed and posted if fully completed. You can view the logs for the relevant period (from 5 to 14 days worth of logs) by hitting the respective line:
- In the main screen of the HOS tab, hit the green button Generate ELD Compliance Report, then select either Send Report or Email Report.
Send report
This is the electronic transfer to FMCSA. Use this when an officer asks for the HOS/ELD data to be sent electronically. The records go into FMCSA’s system for the officer to retrieve there — they are not emailed as a readable report.
Comment/Annotation (optional)
This is not a required field. If an officer asks the driver to enter a code or note (for example a badge number) so they can identify the transfer later, that is the place for it. Otherwise it can be left blank.
Email report
This sends an email to the address entered on the screen (and copies the company email on file). It does not go to a fixed FMCSA email address. The email includes a technical ELD data file, not a normal printable HOS log, so it often looks unreadable if opened like a regular document. That behavior is expected for this option.
When a driver is pulled over and asked for HOS electronically: use Send report (not Email report), and enter any comment/code the officer provides if they ask for one.
If you need a human-readable copy: drivers can view it on the device after tapping Generate ELD Compliance Report in the HOS tab. Office staff can also pull readable HOS/ELD logs from Rapid ERP (Human Resources> Employee> Highlight the employee and scroll to the right to view the 8, 7, 6 or 5-day Driving Log ) and send those separately if needed. The Email report option is not meant to be a readable HOS printout for the roadside officer and it is not an official document required by the FMCSA.
According to FMCSA guidance:
Question: Does the Electronic Logging Device (ELD) rule require that an ELD be able to both display electronically and print?
Guidance: No. The display and print requirement serves as a backup to the data transfer methods. In the event that data transmission fails during a roadside inspection, the safety official must be able to view the required information without entering the commercial motor vehicle (CMV). This can be accomplished via either the ELD screen or a printout from the ELD, whichever is supported by the device. If a provider selects the display requirement as the backup method, the device is not required to meet the print requirement and vice versa.
