Rapid ERP does not have a single “block this customer” switch, but you can stop or warn dispatchers in two ways:
- Credit limit + permissions — stop users who do not have override rights once the customer is over their Max Credit
- Action alerts — show a custom message as soon as the customer is selected on a job (works even when the customer is still under their credit limit)
Option one: Set a credit limit (and control who can override it)
A credit limit can be set for your customers (for each one of them individually), which when exceeded will pop up a warning message on screen. Here is how to do that:
- Go to Sales > Customers and double-click the customer to open the Add/Edit Customer window.
- In the left-hand column, enter the amount in Max Credit, then save and close.
When the customer’s open balance is over that Max Credit and someone tries to create or assign a job for them, Rapid ERP shows a Max Credit Reached message. What happens next depends on the user’s Jobs - Credit Limit Override permission (Write):

Option two: Create a custom action alert
When the goal is to display a warning message as soon as the customer is selected—for example “Do not book new work” or “Call accounting first”—even if they are not over Max Credit, the best tool is a custom action alert. If someone continues after the alert, their username is still recorded in job history.
- Click the RW button (top right), then choose Action alerts.

- Set Type to Customer, pick the customer, enter the Alert Message, then save and close.
- Click Add new alert.

When that customer is selected on a new job, the alert appears immediately:
To retire an alert later, it needs to be marked inactive (so that it can be turn back on if needed) or removed from the same Action alerts screen.
Which option should be used?
- Option one should be used to enforce credit policy: set Max Credit and remove Jobs - Credit Limit Override from users who should not book over-limit customers.
- Option two can be used you need a custom message or an early warning before the credit limit is reached.
- Both options can be used together.
