Overview
You can create Pre-Authorizations at the time of scheduling jobs in Rapid Works ERP.
Steps to Create an Authorization
1. Create a new Job in Jobs -> Dispatch or open an existing job without a processed invoice
2. Click the Pre-Authorization tab
3. Enter the Authorization Amount
Recommendations:
- Enter slightly more than the expected invoice amount
- This ensures you can cover the final total, including fees or unforeseen additions to the invoice
4. Enter Credit Card Information
Provide:
- Name
- Card number
- Expiration date
- You can check “save this method” box to save the Credit Card to your Customer for future Pre-Authorizations or Virtual Terminal Payments
Click Run Authorization
Upon success, the new authorization appears in the Active tab of the Authorization Dashboard and in the Pre-Authorization tab in the Job information in RapidWorks ERP.
5. Processing the Authorization into a Payment
- Once the invoice for the job has been processed, click the “Process” button to collect payment
- The remaining authorized amount will be automatically released back to the card
- Extend Authorization
- System auto-extends every 3 days, up to 21 days total
- Release Authorization
- Removes the hold immediately
