The Clocking Log section in the ERP allows authorized users to view, edit, verify, and manage employee clocking records. Access to this module requires the permission Human Resources – Clocking Log to be enabled.
Accessing the Clocking Log
Navigate to Human Resources → Clocking Log.
The screen is divided into two main grids:
The left grid displays Timecard Dates and key statistics for the period specified in the filter above (e.g., Last 30 days). It shows:
The number of users who have clocked in or out on each date.
The latest clock in and earliest clock out times.
Click on a specific date to review detailed logs for that day.
Viewing and Editing Clocking Logs
The right grid contains four sections:
Employee Activity – displays employee information.
Clock In – shows the date, time, action type, and source of the clock-in.
Clock Out – displays the corresponding details for the clock-out.
Total – shows the total duration of the clocking log.
To open a clocking log, double-click on it or right-click and select Edit Clocking Log.
In the Add/Edit Clocking Actions window:
Select the employee’s name.
Enter the Clock In or Clock Out information.
Depending on the employee’s clocking method, a location and photo may also appear in this window.
To create a new record, right-click in the right grid and select Add New Clocking Log.
Note: If a clock-in already exists, select that record and enter the clock-out in there to complete the log.
This step is required when entering records manually.
Color Indicators
The Clocking Log uses color codes to help identify the status of each record:
Pink background – current-day logs that have not been verified.
To verify a log, right-click and select Verify Clocking In/Out Action or check the Verified box in the Add/Edit Clocking Actions window. (For more information, see this article Verifying Clocking Activity)
Once verified, the record turns green.
Red text – indicates an incomplete clocking log, such as a missing clock-out entry when the employee has clocked in again.
Bold green text – means the employee is currently clocked in.
Exporting Data
Clocking logs can be exported to Excel by right-clicking in the right grid and selecting Export to Excel.
Note: If manual clock in/out will be used in the future, the option must be enabled in Company → My Company → Rapid On The Go! Settings → Clocking Settings. For more details, see the related article Clocking Settings.
