Example Scenario:
Sometimes clients will call in wondering why an operator's Billable Time doesn't match their Clocked In and Clocked out Time. Although these two measures of time are related, they are not the same and should be tracked separately.
Billable Time Definition:
An Operator or any employee on a job can be marked as Billable on that job. These are essentially the hours our client will charge to their customers for using their Labor.
These hours can be seen by running a few different reports(Ex Certified Payroll), or by navigating to the Human Resource Module, then selecting "Payroll".
After choosing the Pay Period, a list of employees will appear on the Grid below. Select an employee by clicking on them, then their Payroll information will appear on the Grid to the right.
Please see example:
Please note in the screenshot the Start Time and the End Time. These are the "On-Job Hours" that are billed to the customer.
Clocking Time Definition:
Clocking Time is essentially the time an employee physically clocks in to begin work. The way an employee would hit the Clock In button in Rapid ERP:
is the exact same way they would clock in with an punch card, or another pre-tech method of clocking into work. Clock In time can encompass many different tasks an employee can do throughout the day, including Billable work, Yard Work, or other ancillary tasks they must do around the office.
Clocking Time can be viewed in Reports Central just like Billable Time, or you can view clocking time in the Human Resources Module, the select either "Clocking Log", or "Crew Central. Both sub-modules will show you what times the employee has clocked into work, and when they clocked out. Please see example below:
Billing Vs Clocking:
When it comes to comparing these two measures, it is important to think of Billable time as part of an employee's Clock In/Out Time. An employee can have several types of tasks they must complete on any given day, Billable Time will track On-Job hours an employee performed on a Job. After a Job has been completed, and employee would need to travel back to a yard, and perhaps perform maintenance tasks once there. Once all an employees tasks have been completed, then they would "Clock Out" at that point.
A Manager of a company may want to see these two measures compared in a report which is possible. Navigate to the "Reports" Module, then to "Report Central" Run the following report:
Category: Employee
Report: Billing vs Clocking
Range: Select any range desired
Please note the three computed columns. Billed Hours, Clocked Hours, and Efficiency
