Overview
Access the Assets – Gallery section to view, upload, and manage all files stored in Rapid ERP, whether they were added through the ERP system or the Rapid On The Go! mobile app. Files in this area can be linked to a wide range of records, including jobs, job tickets, jobsites, employees, equipment units, customers, permits, and more.
The Gallery also supports uploading company‑specific files that are only visible within this section. From here, you can also manage access permissions for any uploaded files.
Specifics
Go to Assets – Gallery to view all files uploaded through Rapid ERP or the Rapid On The Go! mobile app.
In this section, you can see each file’s details, including its type, thumbnail, name, file format, uploader, and access permissions. You can also upload new files, edit existing ones, delete files, or export the entire list to an Excel file.
The Type column shows which item each file is attached to.
If you want to narrow down what you see, use the Show button in the toolbar to filter by specific file types.
Changing File access permission:
- Double‑click a file to open it.
- In the Edit Upload File window, you can update the name, title, description, and user access settings.
- Check or uncheck the permissions you want to give or remove for a specific user group.
- When you're done, click Save to apply the changes.
Note
If you right-click on the Read, Edit or Delete column a small window appears in which you can choose to Select All/Deselect All checks.
Edit or delete multiple items simultaneously in any of the galleries within the system
You can modify user access for multiple files at once. Start by selecting the items you want to update. There are three ways to select more than one gallery file:
- To select consecutive items: Hold the Shift key, then click the first and last item. Everything in between will be selected.
- To select non‑sequential items: Hold the Ctrl key and click each file individually.
- To select all items: Press Ctrl + A.
After selecting multiple files, click Edit to update their access settings.
When you’re finished making changes, click Save and close the window.
If you select and edit multiple items that have different existing permissions, the User Access section will appear in its default state (all permissions checked).
Note
You can also delete multiple items using any of the selection methods mentioned above.
Simply select more than one file, then click the Delete command in the toolbar.
Attaching photos, documents, or other files to a job in Rapid ERP so operators can view them in the ROTG mobile app. Here’s how to add files:
- Open the job you want to update.
- Go to the Gallery tab.
- Upload the files you need.
Once the upload is complete, the files will appear in the Rapid On The Go! (ROTG) app for the operator assigned to the job as long as they have permission to view them.
Gallery in Rapid On The GO!
- Open Rapid On The GO!.
Tap Profile and select Gallery to view them.
- All files you have permission to access will be displayed. You can view and download any of them directly from the app.
You can also upload pictures directly from the mobile app.
Just open a Job, then tap Capture to take and upload a photo.
